InvoPass provides:
By creating an account or using InvoPass, you agree to these Terms of Service. If you are accepting on behalf of a company, you represent that you have authority to bind that company to these terms.
InvoPass is a business service. You must be at least 18 years old and represent a legitimate business entity to use the service.
You are responsible for maintaining the security of your account credentials and for all activity under your account. InvoPass uses SSO (Microsoft or Google) or email-based authentication. You must notify us immediately at [email protected] if you suspect unauthorized access.
You must provide accurate information when creating your account and keep it up to date. Providing false information may result in account suspension.
The current version of InvoPass is single-tenant. Each organization should maintain one account. Multiple users within an organization can be added with appropriate roles.
Paid subscriptions are billed through Lemon Squeezy, who acts as the merchant of record. Lemon Squeezy handles payment processing, VAT calculation, and tax compliance globally. By subscribing, you also agree to Lemon Squeezy's Terms of Service.
InvoPass offers monthly and annual subscription plans. Annual plans are billed upfront for the full year and offer a discount compared to monthly billing. Current pricing is displayed on the pricing page at invopass.io.
New accounts may be offered a free trial period. No payment method is required during the trial. At the end of the trial, you must subscribe to a paid plan to continue using the service. Your data is retained for 30 days after trial expiry.
You can upgrade or downgrade your plan at any time. Upgrades take effect immediately. Downgrades take effect at the end of the current billing period. Plan limits are adjusted accordingly.
Monthly subscriptions are non-refundable once the billing period starts. Annual subscriptions may be refunded on a pro-rata basis within 14 days of purchase if you are not satisfied. Contact [email protected] to request a refund.
If payment fails, we will retry according to Lemon Squeezy's payment recovery schedule. After multiple failed attempts, your account will be suspended. Your data is retained for 30 days after suspension to allow for account recovery.
Lemon Squeezy collects and remits VAT on our behalf. The price you see at checkout is the final price including applicable taxes for your country.
You may use InvoPass only for legitimate business invoice processing. The following are prohibited:
We reserve the right to suspend accounts that violate these terms without prior notice. For serious violations, we may report activity to relevant authorities.
You own your data. InvoPass processes it on your behalf. We will never sell your data or use it for purposes outside of delivering the InvoPass service to you.
All invoice documents, vendor records, user data, and approval audit trails you create or import into InvoPass belong to you. InvoPass processes this data as your data processor.
By using InvoPass, you grant InvoPass a limited license to store, process, and transmit your data solely for the purpose of providing the InvoPass service. This license ends when you delete your account, subject to legal retention requirements.
Invoice documents are sent to Anthropic's Claude API for field extraction. This processing is done on your behalf under a data processing agreement. Invoice content is not used to train AI models.
You can export all your data at any time in CSV format using the built-in export feature. On account cancellation, we provide a 30-day window during which you can export all data before deletion.
We believe in data portability. You will always be able to export your data, regardless of your subscription status. Export is available even on the free plan.
To the maximum extent permitted by Icelandic law:
InvoPass is a workflow tool. Final responsibility for invoice approval decisions, payment accuracy, and accounting compliance rests with you and your organization. We strongly recommend maintaining your own review processes for significant payments.
Nothing in these terms limits our liability for fraud, death or personal injury caused by negligence, or any liability that cannot be limited under applicable law.
You can cancel your subscription at any time through the billing portal. Your access continues until the end of the current billing period. You can also initiate account deletion from Settings, which starts a 30-day grace period. During those 30 days you can export your data and cancel the deletion if you change your mind. After 30 days, all data is permanently deleted.
We may suspend or terminate your account if:
After account termination, your data is retained for 30 days to allow for account recovery or data export. After 30 days, all data is permanently deleted. Legal retention requirements (7-year accounting records) may require us to retain certain records in anonymized form.
If InvoPass is discontinued, we will give at least 90 days notice and provide all users with full data exports before shutdown.
We may update these Terms of Service from time to time. We will notify account administrators of significant changes by email at least 30 days before they take effect.
Minor changes (such as clarifications, formatting, or changes that do not affect your rights) may be made without notice. The "Last updated" date at the top of this page reflects when the terms were most recently changed.
Continued use of InvoPass after changes take effect constitutes acceptance of the updated terms. If you do not agree to updated terms, you may cancel your account before they take effect.
These Terms of Service are governed by the laws of Iceland. Any dispute arising from or relating to these terms shall be subject to the exclusive jurisdiction of the courts of Iceland.
Before initiating any legal proceeding, we ask that you contact us at [email protected] to attempt to resolve the matter informally. We commit to responding within 10 business days.
If you are located in the European Union, you also have the right to use the EU Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
